About the Role

The assistant will handle document preparation, calendar management, travel coordination, invoicing support, reception duties, supply ordering, and occasional event planning and errands. • Revise client proposals, fee estimates, scopes of services, forms, progress reports, and other project documents. • Produce plans, project manuals, and reports, including copying, printing, binding, filing, and scanning. • Compile meeting agendas, minutes, and miscellaneous documents. • Manage Outlook calendars, schedule meetings and calls. • Arrange travel and process expense reports. • Support monthly invoicing activities. • Coordinate with other administrative staff and firm leaders. • Handle reception duties: answer/direct calls, manage packages, greet visitors. • Order and replenish office supplies; maintain production, supply, and common areas. • Assist with event planning, coordination, and occasional errands.

What You Bring

Ideal candidates have at least two years of corporate administrative experience or a bachelor’s degree, strong communication and MS Office skills, and the ability to maintain confidentiality while juggling competing priorities. • Minimum 2+ years corporate/professional administrative experience or a Bachelor’s degree. • Excellent verbal and written communication, with strong grammar and proofreading skills. • Proficient in the Microsoft Office Suite. • Professional, organized, client-oriented, and deadline-driven with proven confidentiality. • Ability to anticipate needs, prioritize tasks, and work independently. • Positive team player committed to quality; self-starter comfortable with traveling leadership. • Preferred: contract management, billing, graphics, and PowerPoint experience.
