About the Role

The Administrative Coordinator supports daily administrative operations of the HOA office and serves as a primary point of contact for residents. The role ensures continuity when the Portfolio Manager is off‑site and handles front‑desk duties, internal communications, and resident interactions. • Greet homeowners, visitors, vendors, and contractors. • Respond to in‑person, phone, and email inquiries. • Enter and update maintenance work orders. • Schedule and coordinate on‑site maintenance vendors. • Perform data entry of community and homeowner information. • Track architectural modifications, violation notices, and community documents. • Prepare and post notices, newsletters, and digital announcements. • Reserve meeting rooms and coordinate board and committee meetings, including document preparation. • Maintain and post board meeting documents. • Monitor rule violations and follow up with communications. • Collaborate with the Portfolio Manager and Board to ensure efficient community service. • Update HOA governing documents and resources on the Engage platform. • Assist residents in locating information and submitting work orders or modification requests on Engage.

What You Bring

• High school diploma or equivalent; associate degree preferred. • Minimum 2 years of administrative, customer service, or HOA office experience. • Excellent written and verbal communication and interpersonal skills. • Strong organizational and multitasking abilities. • Proficiency with Microsoft Office; experience with HOA or property‑management software is a plus.
