About the Role
The Assistant Facilities Manager supports assigned buildings, administers a computerized maintenance management system (CMMS), prepares reports, and coordinates vendors. Primary duties involve working with site‑based Operations and Facilities teams, account and client leadership to handle routine facility operations, including creating, managing, and verifying work orders, clearing flags, and overseeing FM projects. Day‑to‑day responsibilities include building collaborative vendor and client relationships, supporting short‑ and long‑term projects, planning and scheduling maintenance activities, and overseeing health, safety, security, and environmental initiatives. The role communicates KPI and SLA requirements, reviews daily work orders, contributes to site metrics, monitors vendor contracts and invoices, resolves escalations, and ensures asset data integrity within the CMMS. • Manage work orders, flags, and FM projects in the CMMS (Corrigo) • Coordinate with vendors, third‑party providers, and maintenance technicians • Oversee health, safety, security, and environmental initiatives • Monitor and report KPI and SLA performance; drive service improvements • Review daily work orders to ensure timely completion and customer satisfaction • Conduct vendor performance assessments, scorecards, and improvement plans • Maintain asset data integrity and system configuration in the CMMS • Provide vendor coaching and support operations to mitigate risk

What You Bring
Desired experience includes 3‑4+ years in facilities management and CMMS/Work Order applications, superior customer service, proficiency in MS Office and Excel, and strong verbal and written communication. The candidate must be able to build repeatable processes, multitask without direct supervision, plan work under time constraints, and hold US citizenship due to government contract requirements. The estimated compensation ranges from $80,000 to $90,000 per year, and the position is based on‑site in San Jose, CA.
