About the Role

• Generate and process client invoices according to contract terms, billing schedules, and project progress. • Review time and expense entries for accuracy before billing. • Ensure proper revenue recognition and alignment with project accounting standards. • Track invoice status and follow up on outstanding or disputed items. • Use ERP systems to manage invoicing workflows and maintain accurate billing records. • Assist with system upgrades, testing, and invoicing process improvements. • Collaborate with project managers to confirm billing milestones, budgets, and client requirements. • Verify invoices contain correct project codes, phases, and billing rates. • Provide billing data to support cost‑to‑complete and work‑in‑process reporting. • Prepare billing reports and summaries for internal review. • Support audit requests by supplying required invoice documentation. • Manage multiple priorities and meet deadlines consistently.

What You Bring

We are seeking an Invoice Specialist I for our Charlotte, NC office. The role involves preparing, reviewing, and processing client invoices in line with contract terms and project milestones, requiring strong project accounting knowledge, attention to detail, and effective communication with project managers and finance staff. • Apply strong understanding of billing processes and project accounting principles. • Demonstrate proficiency in ERP systems and Microsoft Excel. • Exhibit excellent attention to detail, organization, and communication skills. • Hold an associate degree or equivalent experience in billing or accounting. • Prefer experience in project‑based billing within engineering, architecture, or consulting firms.
