About the Role
The Assistant Soft Service Manager role oversees the integrated facilities management contract and ensures smooth site operations. Responsibilities include coordinating with vendors and landlords, managing budgets and compliance, handling emergency procedures, and providing administrative support for events and daily tasks. The position also works closely with internal stakeholders to improve processes and maintain service standards. • Oversee the IFM service contract and site operations, including snag identification and closure. • Coordinate vendor relationships to ensure compliance, timely execution, cost efficiency, and KPI achievement. • Manage landlord interactions for issue resolution and invoice processing. • Participate in emergency evacuation and crisis management procedures. • Forecast, monitor, and control budgets with minimal variance. • Liaise with Intel SPOC for monthly walkthroughs and on‑demand requests. • Advise the Site Manager on cost‑saving initiatives and process improvements. • Track inventory, expenses, and invoices; ensure adherence to FM policies and regulations. • Organize events for JLL and clients and support general administrative tasks. • Lead stakeholder management across PMOs, admins, and business units. • Supervise a team (HK team, mailroom) and set performance targets. • Collaborate with JLL SME team to implement strategies that boost employee satisfaction and reduce operational risk. • Provide mentorship and training to subordinates on standards and practices.
