About the Role

Associa is hiring a Home Owner Association Administrator to deliver office services with strong customer service and administrative abilities. The role supports community operations, interacts with homeowners, and assists management in daily tasks. The administrator will manage homeowner records, handle inquiries, process violations and architectural review applications, and coordinate meetings for the manager and Board of Directors. They will also maintain community website content, draft correspondence, and represent the company professionally. • Update homeowner files in software and hard copy. • Respond to homeowner questions and forward issues to management. • Record homeowner violations, prepare letters, and coordinate fines. • Process architectural review applications and attend ARC meetings. • Schedule daily tasks and meetings with the manager. • Prepare for and attend Board and Annual Meetings; take minutes. • Communicate meeting schedules and provide documentation to the Board. • Maintain and update community website documents. • Draft correspondence to owners, vendors, and Board members. • Represent the company with a professional appearance and demeanor. • Support team objectives and coordinate with staff as needed. • Deliver professional customer service and business correspondence. • Collaborate with community managers, vendors, peers, and clients. • Keep workspaces organized, monitor supplies, and restock as required. • Preserve confidentiality and follow company policies and procedures. • Prioritize tasks, manage time, and meet deadlines. • Operate office equipment such as copiers, fax machines, and phone systems. • Perform physical tasks including sitting, standing, walking, kneeling, lifting up to 25 lb, and using hands.
