About the Role

Key responsibilities include executive support to the Executive Regional Director—managing calendars, email, travel, expense reporting, PowerPoint preparation, and approvals workflow—as well as daily office operations such as opening duties, reception backup, visitor greeting, phone management, security access, mail handling, and lobby upkeep. The coordinator also maintains broker and staff contact lists, routes website referrals, manages the Listing Agreement database, processes agreements, submits IABS forms, and supports purchasing, invoicing, and expense processing. The role coordinates records storage and document retention for compliance, acts as the secondary point of contact for vendors, manages sponsorship commitments, and supports internal and external event logistics, conference‑room setup, and meeting‑space maintenance. Additionally, the coordinator helps drive culture initiatives by organizing employee and company anniversary recognition programs. • Provide executive‑level administrative support (calendar, email, travel, expenses, PowerPoint, approvals). • Perform daily office opening duties and serve as backup reception (greet visitors, manage phone, security, mail, lobby). • Maintain and update broker/staff contact lists and route website inquiries. • Manage Listing Agreement database, process agreements, and submit IABS forms accurately. • Support office purchasing, invoicing, and expense processing. • Coordinate records storage, document retention, and compliance. • Act as secondary vendor liaison and manage sponsorship commitments. • Plan and execute internal/external event logistics (vendors, catering, room setup, conference‑room management). • Lead employee and company anniversary recognition initiatives.

The ideal candidate is a dynamic communicator with attention to detail, a proactive bias for action, and the ability to anticipate needs in a fast‑paced, service‑driven environment. Required qualifications include a high school diploma or GED (associate or bachelor’s degree preferred), at least two years of office coordination or administrative experience, proficiency in Microsoft Office, and familiarity with Adobe Creative Suite and Workday as a plus. Strong organizational, multitasking, and communication skills, a professional demeanor with a customer‑service mindset, and the ability to work independently and collaboratively are essential. • Require 2+ years office coordination/administrative experience; MS Office proficiency; Adobe Creative Suite and Workday knowledge a plus. • Demonstrate strong organizational, multitasking, communication skills and a customer‑service mindset. • Education: high school diploma/GED required; associate or bachelor's degree preferred.
