About the Role

The Brokerage Coordinator reports to the Director of Operations and provides support to fee-earners and their teams. This role handles client service activities such as pitch and proposal development, transaction support, and administrative assistance, while liaising with various internal departments to meet client needs. Key duties include managing databases, overseeing the content creation timeline, coordinating with other departments, ensuring timely deliverables, and providing sales and deal support to fee-earners. Responsibilities cover pitch and proposal coordination, collaboration with Marketing, Research, and Financial Analyst teams, populating template market documents, creating and designing marketing collateral, abstracting leases, drafting proposals, compiling landlord leasing reports, and organizing transaction documents for deal submission. The coordinator maintains the CRM system, enters new leads and opportunities, schedules client meetings, assists in planning fee‑earner events, coordinates travel logistics, prepares expense reports, and handles other administrative tasks as needed. • Manage databases and update the CRM with new leads and opportunities. • Coordinate pitch and proposal development with Marketing, Research, and Financial Analyst teams. • Produce and design marketing collateral such as flyers, brochures, presentations, and eblasts. • Abstract leases, draft proposals, and compile landlord leasing activity reports. • Organize transaction documents (confidentiality agreements, leases, contracts, listings, closing documents) for deal submission. • Maintain client contact lists and schedule meetings, travel, and events for fee‑earners. • Prepare expense reports and support sales and deal activities. • Ensure timely delivery of deliverables and provide administrative assistance to fee‑earners.

What You Bring

Candidates should have a bachelor's degree in Business, Marketing, Communications, or Finance (preferred) and at least three years of professional experience, preferably with executive‑level administrative support. Advanced Microsoft Office skills and intermediate knowledge of Adobe InDesign, Photoshop, and Salesforce are advantageous. Required competencies include excellent written and oral communication, strong multitasking ability, capacity to take direction from multiple sources, superior project management and attention to detail, and a proven aptitude for problem solving. • Hold a bachelor's degree (preferred) and 3+ years of professional experience. • Demonstrate advanced Microsoft Office skills; intermediate Adobe InDesign, Photoshop, and Salesforce knowledge is a plus. • Exhibit strong communication, multitasking, project management, and attention‑to‑detail abilities.
