About the Role

• Serve as backup receptionist: answer calls, greet visitors, and schedule conference calls. • Maintain conference rooms and reception area, including technical setup. • Coordinate in-house and client meetings. • Manage catering orders, set-up, and clean-up. • Perform daily kitchen maintenance and supply management. • Process incoming and outgoing mail and shipments (USPS, UPS, FedEx, courier). • Liaise with property management for repairs, lost & found, janitorial concerns, and room reservations. • Coordinate with office vendors such as vending, coffee machines, and plants. • Provide executive administrative support to Area Manager, Administrative Manager, and HR, including operating plans and reports. • Develop and maintain departmental administrative policies and procedures. • Act as backup timecard administrator, assisting employees with submission and approval. • Produce communications via email, SharePoint, presentations, and documents. • Perform word processing and formatting for letters, memos, reports, and labels. • Order and maintain office supplies; assist Safety Coordinator with safety gear. • Guide employees on administrative matters as needed. • Support all business groups with administrative tasks. • Coordinate employee engagement events. • Collaborate with other administrative staff to complete support activities.

What You Bring

• Associate’s degree preferred. • Minimum three years professional experience. • Availability during core business hours, Monday‑Friday. • Strong organizational skills and attention to detail. • Ability to take direction from multiple levels of staff. • High School diploma or equivalent. • Self‑motivated, detail‑oriented professional with multitasking ability. • Proficiency with MS Office (Word, Outlook). • Ability to handle confidential information. • Flexibility to prioritize multiple tasks for various managers in a fast‑paced environment. • Excellent verbal and written communication, including grammar, proofreading, and telephone etiquette.
