About the Role

The HVAC Customer Resource Coordinator, reporting to the Area Resource Manager, is responsible for receiving and scheduling customer service calls, managing technician assignments, and ensuring preventive maintenance is completed on time to meet monthly forecasting goals. This role also debriefs daily with technicians, resolves concerns, and collaborates with billing and support teams to progress completed jobs through the proper business processes. Working primarily on‑site, the coordinator handles both unscheduled and scheduled service requests, aligns labor with customer needs, and communicates action plans directly to clients. The role includes following up to confirm customer satisfaction, addressing inquiries, maintaining up‑to‑date account information in NxGen, supporting parts ordering and PO creation, managing WIP, reconciling exceptions, and participating in daily huddles and weekly planning meetings. • Receive and schedule customer service calls; manage technician schedules; ensure timely preventive maintenance and meet forecasting goals. • Daily debrief with technicians/mechanics; resolve concerns quickly. • Assess job completion; coordinate with billing and support to process completed jobs. • Handle unscheduled and scheduled service requests; align labor to customer needs; communicate action plans to customers. • Follow up with customers to confirm satisfaction; handle inquiries, resolve or escalate issues. • Maintain up‑to‑date customer account information in NxGen; support parts ordering, PO creation, start‑up support, PO confirmation, WIP management, and reconcile exceptions. • Attend daily huddles and weekly planning/scheduling meetings; monitor time and expense reporting; correct technicians’ timesheets.

What You Bring

Candidates must have a high school diploma or equivalent and 2–5 years of service industry experience in service operations or scheduling, with strong organizational, detail‑oriented, and interpersonal skills. The ability to juggle multiple projects, prioritize based on financial impact, and influence diverse teams is essential. An associate degree and familiarity with basic project accounting or costing principles are preferred. • Required: High school diploma or equivalent; 2‑5 years service industry experience in service operations or scheduling. • Strong organizational, attention‑to‑detail, and interpersonal skills; ability to manage multiple projects and prioritize based on financial impact. • Preferred: Associate degree; knowledge of basic project accounting or costing principles.
