About the Role

The Property Administrator performs administrative functions for the Property Management Team, ensuring a high level of professionalism in handling property issues and responding promptly to tenant requests or concerns. Key responsibilities include providing full administrative support such as phone coverage, report preparation, filing, and distribution of correspondence; scheduling and coordinating meetings and special events; assisting with lease administration, tenant contacts, and insurance information; preparing bid proposals, service contracts, and processing approved invoices; coding invoices for Property Manager approval; and maintaining office supplies and contract/insurance records in the administration software. The role also monitors the property maintenance work order system, prepares monthly status reports for tenant work orders, maintains purchase order and lease filing systems, fosters positive relationships with tenants and tracks service calls, assists with monthly and quarterly management reports and annual budgeting, and processes staff hours, tenant bill‑back invoices, expense reports, meter readings, and check requests for review and approval. • Provide full administrative support including phone coverage, report writing, filing, and correspondence distribution. • Schedule and coordinate meetings and special events as needed. • Assist with lease administration, tenant contacts, and insurance documentation; generate related reports. • Prepare bid proposals, service contracts, and process approved invoices. • Code invoices for Property Manager approval and maintain contract and insurance records in software. • Ensure office supplies are stocked and the workspace remains operational. • Monitor the work order system and produce monthly status reports on tenant requests. • Maintain purchase order, lease, and contract filing systems. • Cultivate positive relationships with tenants and track service calls. • Support preparation of monthly/quarterly management reports and annual budgeting. • Process staff hours, tenant bill‑back invoices, expense reports, meter readings, and check requests. • Operate in a professional office environment with physical tasks such as standing, walking, stair climbing, and occasional outdoor travel.
