About the Role
The Project Coordinator provides comprehensive administrative support to project teams from preconstruction through close‑out. Responsibilities include managing bid documents, preparing proposals, issuing contracts, processing shop drawings and RFIs, maintaining project files, and coordinating schedules and travel for the Project Manager. • Acquire bid documents, distribute plans, contact subcontractors, and send invitations to bid. • Prepare proposal letters as needed. • Issue subcontracts, purchase orders, and change orders; process shop drawings, RFIs, PCOs, and other project items. • Draft and distribute meeting minutes and routine correspondence. • Organize and maintain project documents. • Coordinate Project Manager’s schedule, appointments, travel arrangements, and meeting agendas. • Perform general administrative tasks such as answering phones, greeting clients, and handling mail/shipments. • Maintain compliance with company policies and procedures. • Exercise independent judgment with minimal supervision. • Share knowledge and teach new ideas to colleagues. • Develop problem‑solving and conflict‑resolution skills. • Clearly communicate information (written and verbal) to stakeholders. • Navigate office floors and attend occasional off‑site meetings.

What You Bring
The role requires physical stamina to stand or sit for extended periods, lift up to 25 lb, and navigate between office floors or attend off‑site meetings as needed. Employees must effectively communicate both verbally and in writing with colleagues and stakeholders while using standard office technology in a well‑lit environment. • Minimum 2–5 years construction‑related administrative experience. • Proficient with project management software, Bluebeam (or equivalent), Excel, Word, Outlook. • Strong verbal and written communication with internal and external customers. • Ability to work under pressure, meet deadlines, prioritize tasks, and maintain a positive attitude. • Efficient time management to achieve challenging work goals. • Ability to travel to job sites as required. • Stand or sit for extended periods (50%+ of the time). • Use computer/laptop/iPad in an office environment with adequate lighting. • Lift up to 25 lb unassisted.
