About the Role

The Facilities Coordinator at Cushman & Wakefield oversees overall facility management for assigned office locations. The role involves continuous monitoring of building systems, ensuring operational efficiency, and supporting client satisfaction through proactive service delivery. The coordinator addresses client inquiries and complaints, follows up to confirm resolution, and coordinates with external contractors for equipment repairs and maintenance. Responsibilities include generating, assigning, and tracking work orders, reviewing vendor bids, processing invoices, and reporting on open and closed tasks. • Provide overall facility management and continuous monitoring of building systems. • Address client inquiries and complaints, ensuring timely resolution and follow‑up. • Coordinate with external contractors for equipment repairs and building maintenance. • Create, assign, and track work orders; report on open and closed tasks. • Review vendor bids, verify invoices, and process payments promptly. • Manage complex work orders, including environmental issues and disaster recovery. • Train vendors on work order and billing procedures and monitor vendor performance. • Report key performance indicators against service level agreements. • Deliver facilities help‑desk services and maintain consistent workflow quality. • Communicate project status updates to clients, landlords, and vendors regularly. • Support special events and provide training for new associates.

Key competencies required are strong communication (oral and written), customer focus, initiative, urgency, multitasking, detail orientation, financial acumen, time management, and teamwork. Candidates must have at least a high school diploma (GED) and preferably an associate or bachelor’s degree in facilities management or related fields, along with a minimum of one year of administrative, accounting, or tenant services experience. Additional qualifications include working knowledge of lease terms, common area maintenance reconciliation, insurance, real‑estate taxes, and the ability to interpret management agreements. Proficiency with Microsoft Office Suite and basic understanding of building systems is essential, as is flexibility to work evenings, weekends, or travel as needed. • Demonstrate strong oral and written communication, customer focus, initiative, urgency, multitasking, detail orientation, financial knowledge, time management, and teamwork. • Hold a high school diploma or GED; associate or bachelor’s degree in facilities management preferred. • Minimum one year of administrative, accounting, or tenant‑services experience; facilities/property management background preferred. • Knowledge of lease terms, CAM reconciliation, insurance, real‑estate taxes, and contract language. • Proficient with Microsoft Office Suite and basic building systems.
