About the Role

The Vancouver office is hiring a full‑time Office Assistant who will work Monday‑Friday, 40 hours per week, primarily at the head office with occasional site visits. Reporting to the Administrative Specialist, the assistant will serve as the main point of contact for staff, vendors and visitors and will support the Administrative Services team with a range of office and facilities tasks. • Provide professional customer service as the primary reception point for visitors and staff • Maintain visitor sign‑in/out logs and issue visitor passes • Coordinate daily facilities tasks with the building manager (repairs, HVAC, janitorial, lighting) • Process mail, overnight shipments, photocopying, filing, faxes, phone list updates, invoices and supply orders • Administer conference‑room calendars, set up rooms for meetings and arrange catering as needed • Edit, assemble and distribute documents and reports • Respond to general office inquiries and proactively escalates issues • Create and update organizational and seating charts • Record, transcribe and distribute meeting minutes • Maintain historical vendor and event information to support managerial decisions • Arrange travel reservations, accommodations, itineraries and agendas • Process expense reports for department heads and managers • Organize filing systems and coordinate document retrieval schedules • Support Diversity, Equity & Inclusion initiatives across the company • Provide coverage for teammates during lunches, breaks, illness or vacation • Suggest continuous‑improvement ideas and share recommendations with the team • Assist with special projects such as annual general meetings and off‑site events • Support HR with onboarding tasks and new‑hire personal protective equipment • Display policy and safety signage in collaboration with Office Manager, HR and EH&S • Help coordinate office moves when required

What You Bring

The role may require climbing stairs or ladders, navigating construction areas, and occasional travel. Employees must be able to lift up to 10 lb regularly and up to 25 lb occasionally, and they must follow safety policies while working in environments with mechanical hazards, heights, fumes and noise. • High School Diploma or equivalent • Minimum two years of office‑related experience (preferred) • Construction industry or customer‑service background (preferred) • Basic understanding of office and facilities management • Strong organizational skills with attention to detail • Proactive, approachable and professional customer‑service attitude • Good judgment for problem‑solving, escalation and seeking guidance • Interpersonal skills to build working relationships • Basic First Aid, CPR and AED certification (desired) • Ability to work independently under supervision and as part of a team • Proficient in Microsoft Office suite • Basic knowledge of Canva (preferred)
