About the Role

The Administrative Assistant – Vehicle Fleet Management provides administrative and operational support to the Fleet Manager and the broader fleet operations team, handling documentation, data entry, scheduling, and communication to ensure safe, compliant, and cost‑effective fleet operations. The role involves maintaining fleet records, coordinating maintenance and compliance activities, managing driver and vendor interactions, handling financial documentation, and providing general administrative support such as meeting scheduling and correspondence preparation. • Maintain and update fleet asset records in the management system. • Schedule and track routine and corrective vehicle maintenance, inspections, and repairs. • Ensure compliance with registrations, inspections, emissions, insurance, and safety documentation. • Assist with driver onboarding/offboarding, including vehicle assignments, keys, fuel cards, and telematics devices. • Process and reconcile fleet invoices, purchase orders, and expense reports with Procurement and Finance. • Administer fuel cards, handling issuance, cancellations, PINs, and usage audits. • Compile data for fleet performance reporting (utilization, downtime, costs, fuel consumption, safety metrics). • Respond to inquiries from drivers, supervisors, and vendors regarding vehicles and related processes. • Organize digital and physical filing systems for fleet documents. • Support accident/incident reporting and coordinate with Risk/Insurance. • Aid implementation and troubleshooting of telematics or GPS systems. • Prepare correspondence, forms, basic presentations, and reports for the Fleet Manager. • Perform general administrative duties such as meeting scheduling, calendar support, and note‑taking.

What You Bring

Candidates must hold a high school diploma, possess at least two years of administrative experience, be proficient with the Microsoft Office Suite, and demonstrate strong attention to detail, accurate data‑entry, and effective communication skills. A valid driver’s license and the ability to pass background checks are required; experience with vehicle fleets, logistics, or telematics systems is preferred. • High school diploma or equivalent; valid driver’s license. • Minimum 2 years of administrative or operations experience. • Proficiency with Microsoft Office (Outlook, Excel, Word, PowerPoint). • Strong attention to detail and accurate data‑entry skills. • Effective written and verbal communication. • Ability to prioritize tasks with limited supervision. • Preferred: experience with vehicle fleet, logistics, or field operations. • Preferred: familiarity with fleet management or telematics systems. • Preferred: knowledge of vehicle documentation (titles, registrations, inspections, insurance). • Preferred: experience working with external vendors and service providers.
