About the Role
The Assistant Property Manager (CRE) assists in all areas defined in the Sr. Assistant Property Manager job description and performs property administrator duties when no such role exists. The role ensures professionalism and fosters positive relationships with tenants and clients. • Provide full administrative support, including phone support, typing, reports, filing and distribution of correspondence; coordinate office supplies when no property administrator is present. • Assist in lease administration activities, such as abstracting leases and keeping the database current. • Maintain all property files, leases, and contracts in an orderly, logical manner. • Prepare and coordinate bid proposals and service contracts. • Obtain aging reports for management and follow up on delinquencies per C&W or client policies. • Process invoices in accounting with appropriate backup and according to established procedures. • Coordinate tenant move‑ins and move‑outs, including furniture delivery and pickup. • Oversee maintenance of work order and purchase order systems. • Develop and maintain a comprehensive Tenant Service Package, including handbooks, anniversaries, holiday gifts, events, newsletters, and training programs; keep tenant data current. • Update and maintain office procedures in the Property Operations Procedure Manual under manager direction. • Ensure certificates of insurance for tenants and vendors are up to date. • Oversee processing of staff hours, expense reports, and check requests for review and approval. • Process above‑standard tenant bill‑backs for electrical usage, after‑hours HVAC, and similar charges in a timely manner. • Assist supervisor with annual budget preparation, monthly financial reports, and bank deposits if handled on‑site. • Lead regular property inspections with janitorial, landscape, and other service providers as directed. • Participate in performance oversight of all service contractors performing contract services.

What You Bring
Key competencies include customer service focus, organization, time management, oral and written communication, initiative, multi‑tasking, and a sense of urgency. A high school diploma or GED is required; a bachelor’s degree is preferred. Candidates should have at least one year of real estate property management or related experience. Proficiency with Microsoft Office Suite and the ability to meet deadlines with initiative and urgency are essential. The role operates in a professional office setting, using standard equipment and requiring travel between properties in various weather conditions. Physical duties may include climbing stairs, standing or sitting for most of the day, and occasional outdoor work.
