About the Role

The Junior Project Support and Document Controller role supports the Capital Project Delivery team by handling proposal preparation, pricing integration, contract documentation, and project closure activities. Responsibilities include tracking time, managing budgets, checking rates, and preparing regular project updates. The role also involves editing and formatting project documents, performing translations when needed, and providing contract evidence for out‑of‑scope client requests. Additional duties cover financial administration such as preparing and issuing invoices, confirming approvals, following up on payments, and preparing monthly reports. The consultant will also support the creation of flyers or case studies from completed projects, upload proposals to the Commercial Hub, and assist with logistical arrangements for health‑and‑safety documents. Coordination with project managers and finance teams ensures contracts are uploaded to the repository and closure checklists are executed. • Track time, manage budgets, and verify rates for progress and finance reviews. • Prepare weekly or monthly project update reports. • Provide contract evidence for out‑of‑scope client requests. • Edit, format, and translate project documents to ensure consistency. • Assist in proposal preparation, including case studies, references, CVs, templates, and AI‑generated content. • Integrate pricing data from ERM tools into client tools. • Arrange logistics and track health‑and‑safety documents, near‑misses, and incidents. • Upload proposals to the Commercial Hub and create post‑project flyers or case studies. • Upload contracts to the Contract Repository and manage project‑closure checklists. • Prepare and issue invoices, obtain approvals, and follow up on payments. • Generate monthly financial reports and support presentation development. • Support scheduling and timeline coordination for proposals.

What You Bring

The position requires advanced Microsoft Office skills, proficiency with Salesforce, and fluent written and spoken English. Knowledge of Spanish, French, Italian, Portuguese, or Dutch is considered a plus. Strong organisational abilities, proactivity, and the capacity to work within a globally integrated community are essential. • Utilize advanced Microsoft Office (Word, Excel, PowerPoint) and Salesforce effectively. • Communicate fluently in English; additional European language skills are a plus. • Demonstrate strong organisational and proactive work habits.
