About the Role
The Portfolio Administration Coordinator is responsible for reviewing leased and owned property documents and compiling critical location data, including financial and contractual obligations, as part of the lease administration process. The role may serve one or more accounts or clients, providing comprehensive lease management support. Key duties include performing quality‑control audits of lease documents, maintaining all lease information in the company's technology systems, and ensuring proper document management, storage, and mail handling. The coordinator reviews client invoices against lease requirements, collects supporting documentation, and verifies calculations. They conduct desktop audits of year‑end Common Area Maintenance, insurance, and real‑estate tax reconciliations, resolve landlord disputes, and ensure financial obligations and monthly rent payments are accurate and timely. Management of the subtenant process—recording rent, handling pass‑through invoices, and year‑end reconciliations—along with regular communication with internal and external partners, is also required. Additional responsibilities involve requesting and processing certificates of insurance, reviewing Estoppels and Subordination, Non‑Disturbance Agreements (SNDAs) for lease compliance, and providing logical responses to property inquiries. The coordinator maintains productive landlord and subtenant relationships, establishes task priorities, creates schedules for portfolio objectives, and manages multiple projects in a fast‑paced environment while staying current on industry standards and trends. • Review and abstract lease and ownership documents, updating data in the lease administration system. • Perform quality‑control audits and maintain accurate lease information. • Manage document storage, retrieval, scanning, and mail distribution. • Verify client invoices against lease terms and collect supporting documentation. • Conduct year‑end audits of CAM, insurance and real‑estate tax charges. • Resolve discrepancies with landlords and ensure timely rent processing. • Oversee subtenant rent collection, pass‑through invoicing, and year‑end reconciliations. • Communicate with internal and external partners, notifying clients of critical dates and policies. • Request and process certificates of insurance as required by leases. • Review Estoppels and SNDA agreements for compliance. • Provide logical responses to property inquiries and maintain landlord/subtenant relationships. • Prioritize tasks, create schedules, and manage multiple projects in a fast‑paced environment. • Stay current on industry standards and trends.
