About the Role
The Document Controller / SharePoint Administrator manages controlled documents and records while administering SharePoint‑based document management environments. The role ensures documents are accurate, compliant, accessible, and aligned with information‑governance standards across the organization. The ideal candidate combines strong document‑control fundamentals with hands‑on SharePoint experience, supporting users, maintaining metadata and permissions, and improving document workflows. • Manage full lifecycle of controlled documents: creation, review, approval, revision, distribution, archival. • Ensure compliance with internal procedures, regulatory requirements, and retention schedules. • Maintain document registers, revision histories, and audit trails; support internal and external audits. • Enforce document naming conventions, version control, and metadata standards. • Administer SharePoint sites, libraries, folders, and permissions. • Configure and maintain metadata, content types, and document libraries. • Support document workflows, approvals, and automated processes; troubleshoot access, versioning, and sync issues. • Partner with IT and business teams on SharePoint enhancements and migrations. • Apply information‑governance principles to digital and physical records; support retention, defensible disposition, and classification efforts. • Assist with policy development and updates related to document management; promote best practices for storage, collaboration, and security. • Provide guidance and training to end users on SharePoint and document‑control procedures; develop quick‑reference guides. • Serve as subject‑matter expert for document control and SharePoint usage; collaborate with cross‑functional teams to improve workflows.

What You Bring
• Bachelor’s degree or equivalent in Information Management, Business Administration, or related field. • 3+ years of experience in document control, records management, or information management. • Hands‑on experience supporting Microsoft SharePoint (Online or On‑Premises). • Strong understanding of document lifecycle management and version control. • Experience managing metadata, permissions, and controlled document libraries. • Proficiency with Microsoft 365 (SharePoint, Teams, OneDrive, Outlook). • Experience in regulated or compliance‑driven environments (preferred). • Knowledge of information‑governance frameworks and retention schedules (preferred). • Familiarity with audit and compliance support (preferred). • Experience with workflow automation tools such as Power Automate (preferred). • Relevant certifications (AIIM Information Professional, ARMA IGP, Microsoft SharePoint or M365) (preferred). • Strong attention to detail and organizational skills. • Ability to manage multiple priorities and meet deadlines. • Clear written and verbal communication; customer‑service mindset. • Analytical and problem‑solving abilities; translate governance requirements into practical solutions.
