About the Role

The Administrative Assistant provides comprehensive administrative support to the department, handling multiple tasks under tight deadlines with good judgment and a professional, supportive attitude. This role contributes to Lennar’s mission of building zero‑defect homes, managing costs, and adhering to schedules. Core duties include using software to create reports, business letters, presentations, and correspondence; preparing and processing vendor contracts, check requests, expense reports, and invoices; organizing and maintaining a central filing system; managing mail, coordinating meetings and luncheons, and overseeing conference‑room schedules; maintaining office supplies, equipment, and the reception area; and serving as the primary point of contact for telephone calls and visitors. • Create reports, business letters, presentations, and correspondence using Microsoft Office. • Compose and transcribe documents accurately and timely. • Prepare and process vendor contracts, check requests, expense reports, and invoices. • Organize and maintain a central filing system; copy, fax, and file documents. • Receive, sort, and distribute incoming mail; manage outgoing FedEx packages. • Coordinate meetings and luncheons, order supplies, and manage calendars and conference‑room schedules. • Inventory, order, and stock office supplies, stationery, and business cards. • Reconcile invoices and allocate charges appropriately. • Arrange service and maintenance of office equipment; liaise with vendors. • Answer and screen telephone calls, greet guests, and maintain reception area appearance. • Maintain kitchen area and order general supplies. • Manage main conference‑room calendar and schedule building maintenance.

What You Bring

Candidates must have a high school diploma or GED, 2‑5 years of relevant administrative experience, proficiency in Microsoft Word, Outlook, and Excel (PowerPoint a plus), and a typing speed of at least 50 wpm. Strong organizational, analytical, and communication skills, a professional attitude, a valid driver’s license, and the ability to work in a primarily sedentary office with occasional light lifting are also required. • Maintain a typing speed of at least 50 wpm. • Demonstrate strong organizational, analytical, and detail‑oriented skills. • Hold a valid driver’s license and be able to lift up to 25 lb occasionally.
