About the Role
The Senior Administrative Assistant will support the Area Manager and department heads across the MidCentral region, ensuring office operations run smoothly and projects stay on track. This role combines clerical expertise with proactive coordination to relieve managers of day‑to‑day details and facilitate efficient workflow. Key duties include managing reception, handling mail and packages, maintaining office supplies, coordinating security and badge access, and supporting facilities, project documentation, and financial processes. The assistant also monitors compliance, prepares reports, and serves as a liaison among various internal and external groups. • Greet guests, staff, and vendors as receptionist. • Sort, scan, and distribute incoming mail and packages. • Manage IT asset inventory and coordinate return shipping. • Track and order office and coffee supplies, including toner. • Process employee and visitor badge requests and coordinate building security. • Compile and submit monthly office inspection, space management, and occupancy reports. • Liaise with facilities team to address building maintenance issues. • Monitor websites daily for new RFPs and announcements. • Ensure compliance with state agency prequalification and audit requirements. • Process vendor invoices via the Online Check Request system. • Assist project managers with client invoice review and submission. • Prepare meetings, luncheons, and expense reports for area and department managers. • Distribute information and materials between groups timely and accurately. • Maintain document archiving, retrieval, and project correspondence flow. • Collect and disseminate newly published company policies. • Manage follow‑up and confidential files for supervisor. • Represent the office in vendor and internal meetings as needed. • Keep manager informed of pending actions and deliver informal presentations. • Create reports and presentations for various functions. • Support technical leads with client prequalification and payroll updates. • Communicate administrative issues across the MidCentral area. • Provide document control and filing support for project controls. • Participate in Office Safety Committee and update safety/continuity plans.

What You Bring
Candidates should hold an associate’s degree or equivalent in Business and possess at least eight years of administrative or clerical experience, preferably within technical, infrastructure engineering, or construction environments. Proficiency with Microsoft Office, strong keyboard skills, and experience managing project documents and office equipment are required, while an active Notary Public is a plus. • Associate’s degree in Business or related field required. • 8+ years administrative/clerical experience, preferably in technical or construction settings. • Proficient in Microsoft Office suite and strong keyboard skills. • Experience managing project documents and office equipment. • Notary Public certification is a plus.
