About the Role

The office support role involves updating and filing association documents, arranging delivery and pickup, and maintaining homeowner and association records in C3 and shared files. Responsibilities also include processing mail, handling print, scan, and fax jobs, organizing correspondence, responding to calls from homeowners, board members, and vendors, reviewing invoices, preparing board packages, and providing occasional concierge coverage. The position pays $20 per hour, operates in a typical office setting with frequent social interaction, and requires teamwork, organization, and confidentiality. • Update and file association documents for Community Managers • Arrange delivery and pickup of documents from storage as needed • Update homeowner and association information in C3 and shared files • Process and distribute incoming and outgoing mail for the office and associations • Perform print, scan, and fax tasks to support general office operations • Organize and prepare correspondence related to association business • Receive and respond to calls from homeowners, board members, and vendors, following up on requests • Review invoices for completeness and accuracy, preparing payable vouchers for manager approval • Prepare monthly board packages and in‑house mailings for community managers • Relieve concierge/reception duties on an as‑needed basis • Maintain organized workspaces and monitor supply levels, assisting with stocking and distribution • Preserve confidentiality and discretion in all duties • Partner with community managers, vendors, peers, and clients to coordinate activities • Operate standard office equipment such as copiers, fax machines, and phone systems • Provide professional customer service with strong business correspondence skills • Prioritize, manage time, and meet deadlines effectively
