About the Role
The Tenant Services Coordinator supports BGIS clients by coordinating delivery of small‑scale maintenance projects, workspace changes, design services and office services. They handle tenant issues related to service projects and are responsible for assembling scope and specifications, tendering, financial administration and monitoring contractor performance for tenant service and base building projects. In the projects domain, the coordinator receives and validates service requests via phone, email or in‑person visits, maintaining a project tracker. They work with Facility Managers to determine required skills, assist in contractor selection and monitor performance, coordinating BGIS and subcontracted teams to deliver projects on scope, budget and schedule while ensuring client satisfaction. Health and safety duties include ensuring projects comply with regulatory, environmental and safety requirements, following company procedures, managing H&S documentation, and verifying security compliance of service providers before entry. The role also involves developing client communications such as deadline notifications and process updates, creating and submitting all project documentation, funding justifications and approval templates, and meeting all documentation requirements. Financial responsibilities encompass reviewing contractor invoices for discrepancies, preparing funding documents for tenant approval, and ensuring accuracy of quotes and funding paperwork. Required knowledge and skills include a high school diploma plus a technical or business course, 1‑3 years of relevant experience, strong client service and interpersonal abilities, familiarity with project delivery and tendering, general commercial building knowledge, strong organizational and documentation skills, and proficiency with MS Office; CAD experience and a valid driver’s licence are assets.
