About the Role
The role provides entry‑level administrative support, including research, statistical reporting, handling information requests, and clerical tasks such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Additional duties may be assigned as required. • Record and distribute minutes of meetings. • Conduct research, compile data, and prepare papers for executives, committees, and boards. • Coordinate office services including records, budget preparation, personnel, and housekeeping to support executives. • File, retrieve, and manage corporate documents, records, and reports. • Greet visitors and control access to appropriate personnel. • Interpret administrative and operating policies for employees. • Arrange travel and prepare expense reports. • Manage and maintain office schedules. • Represent executives in meetings with individuals and interest groups. • Process incoming correspondence, faxes, and emails. • Perform general office duties such as ordering supplies, maintaining records systems, and basic bookkeeping. • Prepare agendas and arrange committee, board, and other meetings. • Draft invoices, reports, memos, letters, financial statements, and other documents using office software. • Respond to routine correspondence inquiries. • Review incoming memos and reports to assess significance and distribution. • Evaluate operating practices to identify workflow, reporting, or cost improvements. • Develop and oversee administrative policies and procedures. • Supervise and train clerical staff as needed.

What You Bring
The position requires 0‑5 years of administrative experience, preferably in an engineering environment. Candidates should be proficient with Microsoft Office, detail‑oriented, and possess strong proofreading, written, verbal, and interpersonal skills. Work is performed under moderate supervision, using established procedures, and requires teamwork and time‑management.
