About the Role

The Project Administrative Assistant will support the Project Manager or Operations Manager on one or more projects, handling day‑to‑day administrative operations. • Perform administrative support duties and process project documentation. • Set up and maintain project filing systems, including archiving records. • Secure and process contract agreements. • Support operations and project managers with estimating, billing, cost projections, scheduling, and daily activities. • Generate and distribute logs and reports. • Maintain positive, professional relationships with internal and external customers. • Prepare, process, and submit project close‑out documentation. • Review timecards, ensure correct phase/cost codes, track per diem, and resolve discrepancies before payroll. • Assist superintendents with daily reports, manpower logs, and production tracking. • Track equipment rentals and coordinate documentation and returns. • Maintain basic trackers for manpower, materials, and equipment as directed. • Ensure compliance with site rules, safety standards, and client protocols. • Work under direct supervision performing administrative or technical tasks. • Follow established guidelines, processes, and operating procedures. • Coordinate own tasks to achieve well‑defined outcomes. • Operate in a structured, recurring work environment.
