About the Role

Primary objectives include providing efficient, professional support to the Critical Commissioning Management Team and project staff, maintaining staff planning tools, managing resource utilisation, and ensuring high‑quality service to internal and external customers while safeguarding confidential information. • Add new opportunities to the Staff Chart using fee spreadsheet data. • Liaise weekly with Account Leads and Principal Project Managers to update project requirements and identify utilisation issues. • Convert pipeline projects to firm orders and update resource timelines. • Schedule and lead weekly resource review meetings; present Staff Chart updates. • Record meeting actions and adjust staff planning tools accordingly. • Train and coach new Project Administrators on company systems and processes. • Supervise the PA team in producing monthly client cost reports. • Coordinate with Finance for monthly billing, project forecasts, and status changes. • Generate staff utilisation and cost reports. • Ensure all documentation follows required templates. • Take minutes and follow up on actions from project meetings. • Manage travel and accommodation bookings for staff. • Respond to customer queries and manage diaries. • Organise events, meetings, hospitality, and prepare agendas and minutes. • Maintain professional relationships with internal/external customers and third‑party suppliers. • Research information for meetings and collate required documentation. • Provide hands‑on administrative support and ad‑hoc assistance to delivery teams. • Lead the Project Administrator in their absence, including BID preparation, SharePoint project set‑up, and CRM updates. • Answer calls, greet visitors, and maintain hard and soft copy filing systems. • Support engineers on the Nucleus platform and manage QA Gateways in EBS. • Participate in resource allocation reviews and update Group Sales reports. • Communicate effectively, influence others, and persuade stakeholders. • Collaborate cooperatively across departments and the wider organization.

What You Bring

• Demonstrate client focus, ownership, and high service orientation. • Adapt to change and implement new ways of working. • Minimum 2 years experience in a similar administrative role. • High attention to detail and ability to meet deadlines. • Proficient with Microsoft Office Suite, including Outlook. • Capable of taking direction from multiple professional levels. • Able to work under pressure independently and as part of a team.
