About the Role
As an Assistant Facilities Manager at JLL, you will support the Facilities Management team in overseeing several client buildings. Reporting to the Facilities Manager, you will help manage a range of soft services and ensure the sites run efficiently and effectively. Your daily duties include leading the team that provides first‑line soft services such as reception, mail operations, meetings and events, cleaning, waste and recycling, vending, and food services. You will monitor office equipment and supplies, coordinate with vendors, and conduct weekly walk‑rounds with the cleaning manager to maintain quality standards. In addition, you will handle trouble‑ticket requests, manage health‑and‑safety compliance, and provide travel and visitor support by liaising with approved hotels and global travel managers. • Oversee first‑line soft services such as reception, mail, events, cleaning, waste, vending, and food services. • Monitor office equipment and supplies; coordinate vendor meetings for issue resolution and cost estimates. • Conduct weekly walk‑rounds with the cleaning manager to ensure quality standards. • Manage trouble‑ticket requests and respond to internal customer inquiries within SLA limits. • Handle daily health‑and‑safety compliance, fire drills, safety equipment, and training records. • Provide travel and visitor support by liaising with approved hotels and global travel managers. • Organize internal and external client events and supervise conference and kitchen facilities. • Raise purchase orders and maintain Wiki pages and communication channels for site coordination.

What You Bring
Required qualifications are a high school diploma or equivalent (or a four‑year degree) combined with at least two years of assistant facilities management experience. Experience with a computerized maintenance management system (CMMS), basic knowledge of mechanical and electrical systems, strong communication and multitasking abilities, and reliable transportation in the Bay Area are essential. Preferred qualifications include military service or a related degree, exposure to Corrigo CMMS, experience organizing client events, familiarity with Wiki pages and purchase‑order processes, and the ability to deputize for the Facilities Manager. Additional experience in travel support coordination and health‑and‑safety management is also valued.
