About the Role

The Senior Document Control and Document Administration professional will support Parsons' growing operations in Oakland, California. This role oversees project and corporate documentation, ensuring compliance with internal standards and client requirements, while providing high‑level administrative support to project teams and leadership. • Manage document control processes: receipt, review, formatting, numbering, distribution, and archiving. • Administer electronic document management systems and shared drives according to standards. • Enforce naming conventions, version control, and document procedures. • Coordinate documentation flow among internal teams, clients, consultants, and subcontractors. • Track and report status of submittals, RFIs, transmittals, drawings, specifications, and correspondence. • Ensure documents are logged, indexed, and stored for easy retrieval and audit readiness. • Support preparation, formatting, and quality review of deliverables, presentations, and reports. • Provide senior administrative support: scheduling, meeting coordination, minutes, and agendas. • Onboard new team members to document control systems and deliver basic training. • Resolve document system issues with IT and implement improvements. • Ensure compliance with contractual, regulatory, and Parsons quality requirements. • Contribute to process‑improvement initiatives to increase efficiency and consistency. • Collaborative teamwork with multidisciplinary and external stakeholders.

The firm’s agile, innovative approach enables it to address defense, intelligence, and critical infrastructure challenges, delivering tomorrow’s solutions today. • High school diploma required; associate or bachelor’s degree preferred. • Minimum 5+ years administrative experience with document control in engineering or construction. • Proficient with document control platforms such as Aconex, ProjectWise, SharePoint, or Procore. • Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook). • Knowledge of version control, document numbering, and transmittal processes. • Excellent organization, attention to detail, and time‑management abilities. • Strong written and verbal communication skills. • Ability to manage multiple priorities in a fast‑paced, deadline‑driven environment. • Preferred: experience with major engineering/transportation firms and public agency projects in California. • Preferred: knowledge of records retention, audit requirements, and quality management processes. • Preferred: experience training others in document control processes and tools.
