About the Role

The Office Manager is responsible for supervising clerical and administrative employees across multiple financial and operational functions within a division or business unit, ensuring effective office operations while supporting the General Manager and Division Controller. In smaller operations, the role may also fill supervisory gaps where dedicated resources are unavailable. Key duties include coordinating and directing office staff, handling hiring, training, scheduling, and performance management, and maintaining records to meet regulatory and statutory requirements. The manager also oversees facility needs such as supplies, mail, and building maintenance, evaluates department performance, and drives improvements through cross‑functional collaboration. Additional responsibilities involve supervising budget preparation, general ledger management, invoicing, billing adjustments, and various projects, as well as developing and enforcing policies, procedures, and standard operating procedures to ensure compliance and efficiency. The role serves as a resource for resolving complex financial or operational issues and may require travel by car, air, or other transportation. • Supervise, hire, train, schedule, and manage performance of office staff. • Set performance standards and ensure coverage to meet service goals. • Maintain regulatory compliance records and manage facility needs such as supplies, mail, and building maintenance. • Evaluate office production and department performance, recommending improvements. • Oversee budgeting, general ledger, invoicing, billing adjustments, and related projects. • Develop and implement policies, procedures, and SOPs to ensure compliance and operational efficiency. • Act as a resource for resolving complex financial and operational issues, including customer interactions.

What You Bring

Candidates must have a comprehensive understanding of business operations, strong communication skills, and the ability to coach and mentor staff. Required qualifications include a minimum of five years' experience in office management, supervision, operations, or finance, a high school diploma or GED, at least one year of supervisory experience, and proficiency with MS Office and company systems such as Lawson, InfoPro, TRUX, and ePro. • Travel as required by car, air, or other transportation modes. • Minimum 5 years experience in office management, supervision, operations, or finance. • High school diploma or GED; at least 1 year supervisory experience in a related function. • Strong understanding of business operations, transactions, and process improvement. • Excellent communication and collaboration skills with leadership, staff, and customers. • Ability to coach, mentor, and manage performance of team members. • Proven project management and multitasking abilities to meet deadlines. • Proficient in MS Office (Word, Excel) and company systems (Lawson, InfoPro, TRUX, ePro).
