About the Role

The role involves maintaining the site’s filing system and managing controlled documents through WebEDMS, monitoring and ordering office supplies, furniture, and equipment, and supervising custodial contractors to keep the office and appliances clean. Additional duties include sorting and distributing mail, updating the site phone list and Outlook distribution lists, coordinating PPE procurement, supporting audit preparation, handling purchases and vendor invoices, submitting expense reports, planning on‑site and off‑site events, organizing meetings, arranging travel and visitor logistics, protecting confidential information, and producing site communications. • Maintain filing system and manage controlled documents using WebEDMS. • Monitor and order office supplies, furniture, and equipment. • Supervise custodial contractors to ensure office cleanliness and functional appliances. • Sort, distribute, and discard incoming and outgoing mail. • Update site phone list and Outlook email distribution lists. • Procure and issue PPE, including BootJack and eyeglass vouchers. • Assist in audit preparation and set up conference rooms with necessary supplies. • Purchase items and process vendor invoices as required. • Submit expense reports for company card purchases by the end of each month. • Plan, set up, and manage on‑site and off‑site events and meetings. • Coordinate travel arrangements, hotel and car rentals, and visitor orientations. • Maintain confidentiality of sensitive information. • Create site communications such as emails, Teams messages, and flyers. • Own and maintain controlled document storage, routing, approval, and review processes. • Train site personnel on document management systems and procedures.

What You Bring

Qualifications include 0‑5 years of administrative experience, preferably in an engineering environment, with the ability to work under moderate supervision, apply basic technical skills, and use Microsoft Office Suite. Strong attention to detail, proofreading, written and verbal communication, and interpersonal skills are required.

This is a full‑time temporary position at a maintenance site with no per diem. The work schedule consists of four 9‑hour days and one 4‑hour day each week.
