About the Role

The role provides professional administrative assistance to the business and external clients, maintaining professionalism, confidentiality, and discretion at all times. It is based in the South Brisbane office, five days a week with no work‑from‑home. Primary duties include front‑of‑house reception, answering phones, booking meeting rooms and pool cars, coordinating event catering, keeping common areas tidy, onboarding new team members, managing safety supplies, ordering PPE, stationery and kitchen needs, producing regular reports and handling ad‑hoc admin tasks. Additional responsibilities cover building maintenance coordination, office equipment needs, communication of client and staff events, maintaining stock levels, ensuring clean reception, kitchens and meeting rooms, and supporting the Shared Services Team Lead with health, safety, security and environment tasks as the Office Safety and Environment Coordinator. • Manage front‑of‑house reception, answer phones, and book meeting rooms and pool cars. • Coordinate event catering and ensure common areas remain tidy. • Oversee onboarding and exit checklists, ordering PPE, stationery, and kitchen supplies. • Produce regular administrative reports and handle ad‑hoc tasks. • Coordinate building maintenance, office equipment, and office communications. • Maintain clean reception, kitchens, and meeting rooms with adequate stock. • Support HSSE initiatives as Office Safety and Environment Coordinator. • Assist with quality, safety, and environment compliance audits.

What You Bring

Success in this role requires excellent communication skills, at least two years of administration or office‑management experience, a can‑do attitude, strong organization and time‑management abilities, and the ability to multitask and prioritize work. Candidates should have intermediate Microsoft Office knowledge, be initiative‑driven, detail‑oriented, capable of competent decision‑making, and self‑motivated. • Minimum 2 years of administration or office‑management experience. • Excellent communication, organization, and time‑management skills. • Ability to multitask, prioritize work, and make competent decisions. • Intermediate proficiency in Microsoft Office and willingness to learn new systems. • Proactive, detail‑oriented, and self‑motivated with a can‑do attitude.
