About the Role

The role is based in the Business Unit’s reception area, where you will operate the switchboard, greet visitors, and provide administrative support to the Production Secretary, Finance Department, and other staff. • Answer telephone calls promptly and courteously. • Identify call purpose and route to appropriate person or department, or respond on behalf of the company. • Take accurate messages and deliver them timely. • Maintain abbreviated dialing system and assist with phone directory. • Welcome and log visitors, ensuring health, safety and security compliance. • Announce visitors to relevant staff or department. • Receive and distribute mail and parcels. • Frank outgoing mail and monitor franking machine supplies and payments. • Support Executive Secretary and other departments as needed. • Manage meeting room diaries. • Receive deliveries, notify recipients, and keep reception area tidy. • Type standard letters and forms upon request. • Ensure staff log in/out using company systems. • Order office stationery for all departments. • Update staff and site contact details regularly. • Provide cover for part‑time receptionist during absences. • Arrange own holiday cover in coordination with Executive Secretary. • Deliver switchboard training to fellow employees when required. • Arrange courier services.
