Assist Defence estate project delivery with admin, procurement, reporting and stakeholder liaison.

About the Role
The role offers a broad scope of responsibilities. You will promote Downer’s Zero Harm safety practices, support Project Delivery Managers with meeting coordination, documentation and task tracking, and assist with procurement activities such as RFQs, subcontractor management and invoice processing. You will also manage Defence system uploads, reporting, and stakeholder communications while contributing to continuous‑improvement initiatives. • Promote Downer’s Zero Harm safety practices and meet HSE requirements. • Support Project Delivery Managers with meeting coordination, documentation, and task tracking. • Assist with procurement processes, RFQs/RFTs, subcontractor management, and invoice/claims handling. • Upload and maintain documents, submit reports, and ensure data accuracy in Defence systems (GEMS, ROMAN, Objective). • Liaise with Defence stakeholders and SDPs, maintain communication consistency, and contribute to efficiency and quality initiatives.

What You Bring
Successful candidates will hold a Certificate IV in Business Administration (or equivalent), a Defence Security Clearance, a White Card, and a valid driver’s licence. At least two years of project administration experience, strong Microsoft Office skills and the ability to interpret financial data are required. Excellent written and verbal communication, stakeholder‑management abilities, and strong organisational skills with a keen attention to detail are also essential. • Hold a Certificate IV in Business Administration (or equivalent), Defence Security Clearance, White Card, and a valid driver’s licence. • Minimum two years of project administration experience, including document preparation and minute taking. • Advanced proficiency in Microsoft Office Suite and ability to interpret financial forecasting data. • Strong written and verbal communication skills with a customer‑focused stakeholder management approach. • Excellent organisation, attention to detail, and ability to prioritise tasks and work autonomously.
