About the Role
The coordinator manages comprehensive mail‑room operations and serves as the primary liaison for all mail and courier services, ensuring efficient processing, distribution and tracking of incoming and outgoing items while maintaining high client‑service standards. Key duties include receiving, sorting and distributing USPS and overnight courier mail on the day of receipt, coordinating outgoing shipments through carriers such as FedEx, UPS, USPS and DHL, reconciling mail records, logging workflow and reporting volumes, and maintaining strong client relationships to meet or exceed KPI targets. Additional responsibilities involve requesting postage funding, supporting operational audits, seeking cost‑saving improvements, assisting with facility operations at multiple sites, updating internal procedures, and performing other tasks as assigned. • Manage daily mail‑room operations, including receipt, sorting, and same‑day distribution of incoming mail and parcels. • Coordinate outgoing shipments via FedEx, UPS, USPS, DHL and ensure correct postage and cost‑effective routing. • Serve as primary liaison with mail vendors and courier services, tracking requests and maintaining vendor relationships. • Log workflow, reconcile mail records, and submit weekly volume reports to the Facility Manager. • Build and maintain strong client relationships to meet or exceed service KPIs. • Request postage funding, maintain mail‑supply inventory, and support operational audits. • Identify and recommend process improvements to reduce costs and enhance efficiency. • Provide mail support across multiple campus sites and assist with broader facilities operations as needed.

What You Bring
The role requires a high school diploma or equivalent and 1‑2 years of mail‑room or logistics experience, along with reliability, strong organization, attention to detail, and the ability to lift up to 50 lb. Preferred qualifications include experience with Corrigo or similar work‑order systems, client‑facing service, multi‑site support, and a background in shipping, receiving or process improvement. • Required: high school diploma/GED, 1‑2 years mail‑room or logistics experience, reliable work ethic, strong organization and detail orientation, ability to lift up to 50 lb. • Preferred: experience with Corrigo or similar work‑order software, client‑facing service, multi‑site logistics, and process‑improvement initiatives.

The Mail Services Coordinator role offers $20‑$22 per hour based on experience, working Monday‑Friday, 7:00 AM‑3:30 PM on‑site in Indianapolis, IN. The position requires daily use of a personal vehicle for postal runs, with mileage reimbursement provided.
