About the Role

The role involves providing comprehensive administrative assistance, supporting the full bid cycle, and coordinating meetings and events. You will also handle general team administration such as QA checks, new-starter support and invoicing, while upholding GHD’s values and policies. • Provide administrative support, including preparation and proofreading of letters, proposals, and reports. • Assist with bid preparation, tender schedules, staff CVs, and development of marketing collateral. • Coordinate project meetings, presentations, agendas, and manage room bookings and catering. • Handle general team administration tasks such as organizing events, QA checks, new-starter support, and invoicing. • Ensure compliance with GHD’s values, codes of conduct, and policies.

What You Bring

We are seeking a proactive, detail-oriented Administration Partner for our Melbourne team. The successful candidate will excel in time management, work both independently and collaboratively, and be comfortable formatting documents and managing templates while communicating clearly in writing and orally. Candidates should have proven experience in a busy professional support environment, advanced proficiency with MS365, Office Suite and Teams, and preferably exposure to SharePoint, Salesforce or Concur. Initiative, strong work ethic, multitasking ability, and discretion with confidential information are essential, as is the capacity to produce high-quality work with minimal supervision. • Demonstrated experience in a similar team support role within a busy professional environment. • High proficiency in MS365, Office Suite, and MS Teams; familiarity with SharePoint, Salesforce, or Concur is advantageous. • Proactive initiative and strong work ethic, anticipating support needs of colleagues. • Excellent multitasking and prioritisation skills, delivering high-quality work with minimal supervision. • Proven ability to handle confidential information with discretion.
