About the Role

The Facilities Administrative Assistant provides overall administrative and organizational support to the Facilities Department. The role maintains a close and highly responsive relationship with management and staff, develops positive professional relationships with internal and external customers, and handles confidential information. The administrator is expected to think critically, work independently, and achieve results without day‑to‑day guidance. Pay rate is $41.52 and the position is onsite/office‑based. • Respond to visitors, calls, and inquiries; determine escalations or rerouting. • Serve as point of contact and liaison for department activities; maintain internal reports, purchasing transactions, correspondence, training, etc. • Manage Outlook calendars, schedule appointments, and arrange meeting rooms. • Attend meetings, assemble materials, generate agendas and minutes, and distribute them. • Assist in developing and implementing standard operating procedures. • Prepare reports, summaries, or replies by selecting relevant information from various sources. • Coordinate interdepartmental communications and activities. • Plan and organize work to meet deadlines, handling multiple tasks daily. • Assist Procurement Department to resolve concerns and communicate results. • Support Call Center for incoming emergency and urgent customer calls. • Occasionally operate customer and company vehicles and equipment safely. • Adhere to company safety and personnel policies and procedures.

What You Bring

• High school diploma or GED. • Minimum three years’ experience supporting senior leadership/management. • Proven reliability, responsibility, and ability to perform essential duties. • At least one year experience handling confidential information and generating correspondence, reports, and records. • Ability to operate all office equipment (phones, copy machines, fax, printers, computers). • Demonstrated ability to manage workflow of multiple critical issues in a changing schedule. • High attention to detail with strong diplomatic, organizational, time‑management, critical‑thinking, and interpersonal skills. • Proficiency in Microsoft Office (Word, Excel, Outlook). • Mature judgment and ability to work with minimal supervision. • U.S. citizenship and required intelligence community clearance. • Valid state driver’s license. • Ability to lift 50 pounds.
