About the Role

The Senior Executive Assistant provides high‑level administrative and strategic support to two executive leaders in the Americas Commercial Real Estate business, managing complex priorities and ensuring seamless coordination across operations in a fast‑paced, multi‑market environment. The role anticipates needs, balances competing demands, and builds strong relationships with senior leadership while maintaining absolute discretion. The position collaborates with HR, Finance, Legal, and regional leadership to support operational workflows, prepares presentations and reports for investors and clients, and oversees office functions such as expense reporting, procurement, and space planning. • Manage dynamic calendars, prioritize meetings, and schedule across North America time zones • Prepare agendas, briefing materials, and talking points for daily executive meetings • Draft and manage communications, ensuring timely follow‑up on key actions • Coordinate domestic and international travel itineraries, accommodations, and logistics • Handle confidential information with utmost integrity • Track business priorities, deliverables, and deadlines across the Americas region • Oversee leadership meetings, town halls, business reviews, and off‑site events • Partner with HR, Finance, Legal, and regional teams to support operational workflows and programs • Assist in creating presentations, reports, investor/client briefings, and leadership updates • Facilitate communication between Americas leaders, senior executives, business heads, and external stakeholders • Coordinate cross‑functional initiatives, ensuring progress and alignment across markets • Manage special projects, strategic research, vendor coordination, and event support • Maintain expense reporting, procurement, invoicing, and budget tracking • Oversee document management, approval flows, and contract routing • Support office space planning, client meetings, and operational needs

What You Bring

• 5+ years of experience in operations, project coordination, executive support, or business administration • Proven ability to manage complex executive calendars and large‑scale event logistics • Strong organizational, time‑management, and detail‑orientation skills • Excellent written and verbal communication abilities • Ability to work independently and navigate ambiguity • Proficiency with Microsoft Office, Teams, Workday, Concur, and task‑management tools • Demonstrated discretion and confidentiality • Experience in a large corporate or global organization (preferred) • Familiarity with executive‑level reporting, business planning, or stakeholder engagement (preferred) • Experience coordinating off‑sites, board meetings, or corporate events (preferred) • Interest in strategic operations, organizational planning, or process optimization (preferred)
