About the Role

The role of System Implementation Specialist focuses on designing, configuring, deploying and driving adoption of the InEight Documents module to standardise document control across projects and portfolios. The specialist will work closely with project teams, engineering, construction management, IT and vendors to create scalable workflows, metadata structures and reporting that ensure compliance, traceability and productivity. • Lead end‑to‑end InEight Documents setup, including environments, permissions, roles, folders, metadata and audit controls. • Configure business rules and automated workflows for submittals, RFIs, transmittals, review cycles, revisions and close‑out packages. • Design and maintain document numbering, revision strategies and naming conventions aligned with company standards. • Build and optimise templates, checklists, forms and custom fields to ensure traceability. • Implement controlled taxonomies, metadata, tags and vocabularies for robust searchability and classification. • Direct migration of legacy data from network drives, SharePoint or other DMS/EDMS tools, handling mapping, cleansing, deduplication and validation. • Configure integrations with ERP, scheduling, cost management and other systems. • Define and execute UAT and cut‑over plans, managing go/no‑go readiness. • Facilitate requirements workshops with document control, engineering, construction and PMO stakeholders. • Develop and deliver role‑based training, job aids and LMS content for admins, controllers, reviewers and external partners. • Conduct floor‑walking, office hours and post‑go‑live support to drive adoption and measurable outcomes. • Act as liaison to InEight and vendors for escalations, enhancements and roadmap alignment. • Create dashboards and reports on cycle times, overdue items, bottlenecks, RFI/submittal throughput and compliance. • Monitor KPIs, drive continuous improvement to reduce turnaround times and improve data quality. • Document lessons learned, maintain a backlog of enhancements and manage an iterative release plan.

What You Bring

• 3‑7+ years in document control, EDMS/DMS implementation or construction technology delivery. • Hands‑on experience with InEight Documents administration and implementation. • Strong knowledge of submittal, RFI, transmittal, drawing/spec management and close‑out processes. • Expertise in workflow design, metadata taxonomy, permissions/security and change control. • Proven data migration and UAT leadership experience. • Excellent facilitation, training and stakeholder management skills. • Advanced Excel/Power BI or equivalent reporting abilities. • Strong written documentation skills for SOPs, work instructions and training guides. • Engineering, construction, EPC/EPCM or PM/CM background considered an asset; relevant certifications (InEight Admin, PMP, CM‑BIM) a plus. • Exposure to Power Automate, Power Apps or scripting for light automation viewed as an asset.
