About the Role

The Workplace Coordinator/FE/Colleague Host (Soft Services) reports to the Assistant Workplace Manager within Integrated Facilities Management. This role has no direct reports but works closely with a range of internal and external stakeholders to ensure smooth facility operations. Key responsibilities include overseeing site operations, managing housekeeping, mailroom and pantry services, arranging consumables for client and VIP visits, coordinating pest‑control, and ensuring compliance with audit requirements. The coordinator also conducts facility rounds, raises and resolves Corrigo tickets, prepares regular reports, supports administrative and security functions, and handles vendor interactions and performance monitoring. • Manage daily site operations and oversee ground team delivery. • Monitor housekeeping activities, mailroom operations, and pantry/reprographic equipment. • Arrange consumables and supplies for client and VIP visits. • Coordinate pest‑control activities and ensure compliance with audit requirements. • Conduct facility rounds, identify snags, raise and close Corrigo tickets within SLA. • Perform routine inspections of all soft‑service providers to maintain performance standards. • Support the Assistant Workplace Manager with administrative, security and workplace services tasks. • Generate daily, weekly and monthly reports, including inventory tracker updates. • Brief housekeeping and mailroom staff each shift, communicate priorities and address complaints. • Oversee cafeteria cleanliness, vending machines, food‑vendor performance and stock levels. • Maintain soft‑services stores, track monthly budgets and indent required supplies. • Lead vendor staff training, performance evaluations and ensure background checks are up to date. • Implement and drive EHS/HSSE initiatives, risk assessments and incident reporting. • Manage concierge requests, laundry services and quarterly asset register maintenance. • Ensure superior client service, drive process improvements, and pursue personal development.

What You Bring

The ideal candidate brings 3‑5 years of experience in IFM, facilities or soft services, strong team‑handling abilities, solid computer skills, and excellent communication. A degree in business, hotel or building management and knowledge of occupational safety are preferred.
