About the Role
The Contracts Administrator will provide day‑to‑day support to the Subcontracts Management Lead, overseeing procurement and contract management of major subcontracts executed by design‑build contractors. The role ensures compliance with client requirements, maintains accurate documentation, and facilitates smooth communication between stakeholders, while also supporting governance, reporting, and financial administration. The position involves managing subcontract governance processes, preparing and reviewing subcontract agreements and compliance reports, coordinating procurement milestones, monitoring subcontractor performance, and supporting application‑to‑pay and invoicing workflows. Additionally, the Administrator prepares status reports, tracks risks and issues, and collaborates with finance teams and project leadership to ensure timely payments and issue resolution. • Assist Subcontracts Management Lead with subcontract governance, documentation, and record-keeping. • Review EPC contractor subcontracting plans, bid packages, and award recommendations; track procurement milestones. • Monitor subcontractor compliance, maintain performance logs, change orders, and claims records. • Support application-to-pay, validate invoices against contracts, coordinate payment processing and discrepancy resolution. • Prepare regular status reports and facilitate communication among internal teams, EPC contractors, and subcontract managers. • Identify and track risks and issues related to subcontract procurement and execution, coordinating resolutions. • Ensure adherence to SOX controls where applicable.

What You Bring
Candidates should hold a bachelor’s degree in Business Administration, Supply Chain Management, Construction Management or a related field, and have 3–5 years of contract administration or procurement support experience on large‑scale industrial or manufacturing projects. Required skills include strong organization, documentation, multi‑tasking, proficiency in MS Office and contract management systems, and excellent communication and stakeholder coordination abilities. Preferred attributes include experience supporting construction projects, knowledge of subcontractor markets such as data centers, semiconductor facilities, life sciences, renewable energy, or oil & gas, and professional certifications like CAPM.
