About the Role
In this role, the assistant will provide comprehensive administrative support to the project team and Superintendent, handling communications, managing documentation, and coordinating supplies and equipment to keep projects moving smoothly. • Perform clerical tasks and operate office equipment. • Answer and route incoming calls, provide information, and take messages. • File and maintain both paper and electronic records. • Receive, sort, and log deliveries in a database. • Prepare daily outbound deliveries. • Assemble materials for design and construction meetings. • Record and update meeting minutes for site meetings. • Procure consumable materials and office supplies. • Assist Superintendent with equipment inventory tracking. • Enter craft worker timecards for the Superintendent. • Provide general day‑to‑day support to the project team. • Schedule, track, and log repairs and maintenance for work trucks. • Provide maps and directions to visitors, subcontractors, and new employees. • Log applicants into the Craft Applicant Tracking Spreadsheet.

What You Bring
Mortenson is looking for a Project Administrative Assistant who can interact with staff at all levels in a dynamic, ever‑changing environment. The ideal candidate is flexible, resourceful, proactive, and professional while maintaining confidentiality. Candidates should have an associate’s degree in business or a related field and at least three years of administrative experience supporting large teams. Proficiency with Microsoft Office, strong communication skills, and the ability to stay highly organized are essential. Visa sponsorship is not available for this position, and applicants must be legally authorized to work in the U.S. Mortenson does not accept unsolicited agency communications without a valid agreement. • Associate’s degree in business or related field (preferred). • Minimum three years of administrative experience supporting large teams. • Proficient with Microsoft Office, Excel, Outlook, Calendar, and PowerPoint. • Skilled in using basic office equipment. • Strong written and verbal communication abilities. • Highly organized.
