About the Role

The Project Coordinator will support engineering and real‑estate practice teams by handling project documentation, client communications, and administrative tasks, ensuring projects progress smoothly from inception through delivery. This role involves coordinating staff, contractors, and submittals, as well as managing project schedules and deliverables. • Manage full project cycle for national clients • Interface with clients regarding expectations, schedule, permitting process, etc. • Coordinate staff and contractors locally and nationally • Coordinate project submittals to jurisdictional agencies, cities, utilities, etc. • Research agency requirements • Track all tasks and client deliverable documents • Facilitate client communications (proposals, letters, contracts, transmittals, etc.) • Compile and assemble reports; coordinate large production jobs, printing, and binding • Assist engineering staff with contract processes and request insurance certificates • Prepare weekly trackers or job status communications for clients • Assist internal clients with billing and perform invoice reviews • Create, proofread, edit, format, and finalize project‑related documents and reports • Support Real Estate practice team by drafting, editing, and finalizing real estate and legal documents • Conduct property record searches • Manage electronic and paper file management • Create cost summaries and market studies using Excel • Provide administrative support as needed, including ordering supplies, facilities coordination, equipment maintenance scheduling, shipping/courier coordination, and miscellaneous office tasks

What You Bring

Candidates should hold an associate or bachelor’s degree with six or more years of relevant experience, or a high school diploma with eight or more years. Required skills include excellent verbal and written communication, strong proficiency in the MS Office suite and Adobe Professional, and solid proof‑reading and editing abilities. A client‑oriented, positive, and take‑charge attitude, combined with high organization and attention to detail, is essential. • Associate or Bachelor’s degree with 6+ years of relevant experience (or High school diploma with 8+ years) • Excellent verbal and written communication skills • Highly proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) • Proficient in Adobe Professional • Strong proofing, formatting, and editing skills • Highly organized and detail‑oriented • Ability to manage multiple tasks and meet deadlines under pressure • Ability to work well with various people and in a team environment • Ability to travel on a limited basis
