About the Role
The Portfolio Manager provides support to onsite staff and oversees all administrative, maintenance, and capital projects for multiple HOA and condominium communities assigned to the portfolio. • Meet and collaborate with onsite staff and Board of Directors members. • Hire, train, and develop staff. • Implement board policies and directives per the management agreement; support strategic initiatives and association projects. • Conduct property walks and inspections to ensure maintenance, code compliance, and adherence to HOA rules. • Issue violation letters to homeowners and follow up for resolution. • Interact with homeowners, residents, board members, maintenance vendors, and contractors. • Respond to inquiries in person, by phone, and email. • Enter and update data in the database, tracking documents and information. • Create and manage budgets; review financial reports and interpret balance sheets, income statements, operating expenses, and reserve studies. • Submit RFPs, oversee bidding, select vendors, develop relationships, and manage capital projects. • Prioritize maintenance requests and work orders; schedule and coordinate vendors and contractors. • Prepare board packages and coordinate monthly and annual board meetings. • Distribute weekly communications to homeowners about maintenance, guidelines, and community events. • Assist homeowners with architectural review forms and follow up on board decisions.

What You Bring
• Travel to multiple HOA and condominium communities within the portfolio. • Minimum 2 years of community association experience. • Knowledge of the Association Board of Directors, General Manager, and their interaction with homeowner requests. • Active CMCA certification or willingness to obtain it within the first year (company paid). • Customer-service orientation and team mindset. • Financial acumen to read and interpret balance sheets, income statements, operating expenses, reserves, delinquency reports, and variance analysis. • Strong project management skills to prioritize and manage multiple projects and communicate with stakeholders. • Excellent written and verbal communication skills with conflict‑resolution techniques. • Self‑motivated, detail‑oriented, with strong time‑management, ownership, initiative, and problem‑solving abilities.
