About the Role

The position handles daily office organization, visitor greeting, meeting coordination, calendar and travel management, onboarding support, filing, document preparation, billing, timekeeping, procurement, and shipping. It also provides administrative assistance to operating group leadership and builds relationships across all levels while adapting to the evolving demands of the construction business. • Perform daily administrative tasks, organize office, greet visitors, and manage calendars, meetings, and travel arrangements • Coordinate meeting logistics including room reservations, catering, and conference center setup • Support onboarding by partnering with managers for workspace, technology setup, and 90‑day onboarding schedule • Customize group‑specific onboarding experiences to address unique needs and engagement opportunities • Set up and maintain filing systems, prepare documents, and proofread communications with attention to detail • Prepare billing, invoices, and assist with timekeeping activities • Liaise with internal support groups such as Risk Management, Preconstruction, HR, Legal, EHS, and ITS • Procure miscellaneous goods through Mortenson’s procurement system • Manage shipping and receiving for UPS and other deliveries • Assist leadership with expense reports, travel coordination, technology needs, and general administrative support • Build effective relationships across all organizational levels and navigate diverse personalities

Mortenson is seeking an Administrative Assistant to support a wide range of administrative and executive-level tasks in a fast‑paced, ever‑changing environment. The role requires flexibility, creativity, efficiency, and a high level of integrity and confidentiality. Strong written and verbal communication skills and exceptional customer service are essential for interacting with team members and leaders at all levels. Preferred qualifications include an associate or bachelor's degree and at least three years of administrative support experience. Candidates must be detail‑oriented, flexible, organized, and able to multitask, with proficiency in Microsoft Office and strong communication, active listening, and customer service skills. Construction‑related experience and background in billing, invoicing, and timekeeping are advantageous. • Associate or bachelor's degree preferred • Minimum three years of administrative support experience • Strong detail orientation and proofreading ability • Flexible, organized, and able to multitask effectively • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint • Excellent communication and active listening skills • Positive professional attitude with strong customer service • Construction‑related business experience preferred • Experience with billing, invoicing, and timekeeping preferred

Compensation ranges from $59,300 to $80,000, with higher ranges in select locations.
