About the Role

• Anticipate the President’s needs and proactively address issues before they arise. • Coordinate heavy domestic and international travel, including flights, accommodations, ground transportation, and itinerary preparation. • Process, reconcile, and track executive expenses in a timely and accurate manner. • Maintain complex and frequently changing calendars, ensuring optimal time management. • Schedule and organize high-level meetings, conference calls, and events. • Handle last-minute changes and ensure seamless logistics at all times. • Handle sensitive information with the highest level of discretion. • Serve as the primary point of contact for the President; manage and prioritize a high volume of communications. • Prepare agendas, presentations, and briefing materials. • Record and track follow-up actions to ensure commitments are met. • Represent the President and the firm with professionalism in all interactions. • Screen calls, visitors, and correspondence with professionalism and discretion. • Support budget monitoring and vendor payments as needed.

We are seeking a seasoned Executive Assistant to support our President and help drive the continued success of our organization. The Executive Assistant will act as the right hand to the President, managing a wide range of executive support tasks. This position requires a poised, mature, and highly organized professional who thrives in a fast-paced environment, exercises sound judgment, and has a track record of long-term, stable employment. • Minimum of 7+ years of executive assistant or senior administrative support experience, preferably in a real estate, financial services, or professional services environment. • Exceptional organizational and time-management skills with the ability to prioritize effectively. • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools. • Mature, polished, and resourceful. • Experience coordinating complex domestic and international travel. • Comfortable in a fast-paced environment requiring flexibility. • High level of professionalism, discretion, and emotional intelligence. • Demonstrated stability in previous roles (long-tenured positions preferred). • Proactive problem-solver with strong attention to detail. • Strong gatekeeping skills with the ability to diplomatically manage access to senior leadership. • Excellent verbal and written communication skills. • Able to work independently and as part of a team.
