About the Role

The Property Administrator supports the Property Management Team by handling all administrative functions related to property operations. This role ensures a high level of professionalism and provides timely responses to tenant requests and concerns. Key duties include providing comprehensive office support such as phone handling, report preparation, filing, and distribution of correspondence. The administrator schedules meetings and special events, assists with lease administration and insurance documentation, and prepares bid proposals, service contracts, and approved invoices. The position maintains contract and insurance records in the contract administration software, tracks expirations, and oversees the property work‑order system, delivering monthly status reports to the Property Manager. It also manages the purchase order system, organizes lease and contract files, and supports monthly, quarterly, and annual reporting and budgeting activities. • Provide full administrative support including phone handling, report typing, filing, and correspondence distribution. • Schedule and coordinate meetings and special events. • Assist with lease administration, tenant contacts, insurance documentation, and generate related reports. • Prepare bid proposals, service contracts, and process approved invoices. • Code invoices for Property Manager approval and maintain office supply inventory. • Enter and track contracts and certificates of insurance; monitor expirations. • Manage property work order system and produce monthly status reports. • Maintain purchase order system and organize lease and contract files. • Foster positive tenant and client relationships; track service calls. • Support monthly/quarterly management reports and annual budget preparation. • Process staff hours, tenant bill‑back invoices, expense reports, meter readings, and check requests.

What You Bring

Core competencies required are strong oral and written communication, customer focus, organizational and interpersonal skills, initiative, and the ability to multitask effectively. Proficiency with the Microsoft Office Suite and the capability to handle confidential information are essential. A high school diploma or GED is required, with a bachelor’s degree and customer service experience preferred.
