About the Role

• Maintain positive tenant relationships and provide superior customer service. • Prepare tenant memos, correspondence, newsletters, and daily security/janitorial reports. • Cover the reception desk, greet visitors, and handle service requests. • Act as liaison between tenants and building engineers, security, housekeeping, and vendors. • Monitor tenant work orders and follow up to ensure timely completion. • Coordinate tenant meetings, trainings, events, and move‑in/move‑out arrangements. • Manage tenant access card activation and deactivation. • Provide administrative support to managers and the chief engineer, including email handling and mail distribution. • Ensure accurate certificates of insurance for tenants and contractors. • Organize conference rooms, departmental lunches, meetings, travel, and assist with manuals and handbooks. • Process accounts payable, code invoices, obtain vendor W‑9 forms, and assist with property budgeting. • Prepare manual adjustment forms for tenant service requests and support monthly financial reporting. • Update tenant contact information in building systems and coordinate vendor access. • Schedule material moves, maintain the emergency preparedness website, and assist with safety warden meetings. • Track contracts, manage expirations, and facilitate renewals for contractors and vendors.

What You Bring

The position requires at least a high school diploma (a bachelor’s degree is preferred) and welcomes candidates with less than one year of experience; commercial real‑estate exposure is a plus. Essential skills include advanced oral and written communication, attention to detail, typing speed of 65 wpm with 90 % accuracy, and proficiency with Microsoft Office; knowledge of Yardi, 4sight, and Cash is preferred. Physical duties involve prolonged sitting, frequent standing, walking, lifting up to 35 lb, and stair use.
