About the Role
The Customer Operations Associate supports the HVAC installation contract business by tracking financial activities, handling billing and collections, and providing day‑to‑day administrative support. This role works closely with project owners, the installation team, and customers to ensure accurate cost and revenue tracking. Key duties include updating project cost schedules each month, generating query reports, reconciling labor, material, and expense transactions, and performing necessary cost transfers. The associate answers customer and subcontractor inquiries, resolves or escalates issues, prepares monthly billings and related documentation, and assists accounts receivable contacts in dispute resolution. Additional responsibilities cover managing subcontract documentation and purchase orders, handling accounts payable invoicing and exceptions, and coordinating with the sales team on project bookings and contract documentation. • Track and support HVAC installation contracts, handling billing, collections, and subcontract processing. • Update project cost schedules monthly and assist installation team with cost and revenue tracking. • Generate query reports, reconcile labor, material, and expense costs, and perform cost transfers. • Respond to customer and subcontractor inquiries, resolve or escalate issues as appropriate. • Prepare and submit monthly billings, including lien waivers, certified payroll, and other documentation. • Assist with accounts receivable dispute resolution and manage invoice credits/rebills. • Manage subcontract documentation and purchase orders per contract requirements. • Handle accounts payable invoicing, reconcile exceptions, and address PO issues. • Coordinate with sales to review and submit project bookings, release holds, and return signed contracts. • Provide additional operational administration support as needed.

What You Bring
Candidates must have a high school diploma or equivalent and one to two years of relevant experience, preferably in a service, sales, or technical environment. Strong interpersonal, organizational, and prioritization skills are required, along with proficiency in Microsoft Word, Excel, Outlook, and internet business applications.
