About the Role

The Property Administrator (CRE) supports the Property Management Team by handling administrative functions, ensuring professionalism in property matters and responding promptly to tenant requests or concerns. The role encompasses a range of duties such as providing administrative support, scheduling meetings, assisting lease administration, preparing bid proposals and invoices, maintaining office supplies, managing contracts and insurance documentation, monitoring work‑order systems, handling purchase orders, and supporting reporting and budgeting activities. • Provide full administrative support, including phone handling, report typing, filing, and correspondence distribution. • Schedule and coordinate meetings and special events as needed. • Assist with lease administration, tenant contacts, insurance information, and generate related reports. • Prepare and coordinate bid proposals, service contracts, and approved invoices, ensuring compliance with policies. • Prepare and code invoices for Property Manager approval. • Maintain office supplies and required items to keep the office properly stocked. • Complete contract and certificate of insurance information promptly and accurately in contract software. • Track and file contracts and insurance certificates, maintaining a follow‑up system for expirations. • Monitor the property maintenance work order system and generate monthly status reports for tenant work orders. • Maintain the property purchase order system. • Organize and preserve lease, contract, and other property management files. • Promote positive relationships with tenants and clients and track service calls as required. • Assist with preparation of monthly, quarterly, and annual management reports and budgets. • Process staff hours, tenant bill‑back invoices, expense reports, monthly meter readings, and check requests for review and approval.

What You Bring

Success in this position requires strong oral and written communication, a customer‑focused mindset, solid organizational and interpersonal skills, initiative, and the ability to multitask effectively. A high school diploma or GED is required; a bachelor's degree is preferred, and prior customer service experience is advantageous. Proficiency with the Microsoft Office Suite, the ability to follow direction, interact professionally with decision‑makers, and maintain confidentiality are essential. The work environment is a professional office setting using standard equipment, with typical office physical demands.
