About the Role
The Facilities Administrative Assistant provides administrative and organizational support to the Facilities Department, maintaining a responsive relationship with management and staff. The role requires building positive professional relationships with internal and external customers while handling confidential information and working independently to achieve results without day‑to‑day guidance. The position offers a pay rate of $40.71 and is onsite/office‑based. • Respond to visitors, calls, and inquiries, routing requests as needed. • Serve as liaison for department activities; maintain internal reports, purchasing transactions, correspondence, and training records. • Manage Outlook calendars, schedule appointments, and arrange meeting rooms. • Prepare meeting materials, agendas, minutes, and distribute them promptly. • Assist in developing and implementing standard operating procedures. • Generate reports, summaries, and replies by gathering information from multiple sources. • Coordinate interdepartmental communications and activities. • Plan and organize work to meet deadlines, handling multiple tasks daily. • Support Procurement Department in resolving concerns and communicate results. • Assist Call Center with emergency and urgent customer calls. • Provide support to other department staff as directed. • Operate company or customer vehicles and equipment safely when required. • Follow company safety policies and procedures.

What You Bring
• High school diploma or GED. • Minimum three years supporting senior leadership/management. • At least one year handling confidential information and generating correspondence, reports, and records. • Proficiency with office equipment (phones, copiers, fax, printers, computers). • Ability to manage multiple critical issues in a dynamic schedule. • Strong attention to detail, diplomatic, organizational, time‑management, critical‑thinking, and interpersonal skills. • Proficient in Microsoft Office (Word, Excel, Outlook). • Mature judgment and ability to work with minimal supervision. • U.S. citizenship and required intelligence‑community clearance. • Valid state driver’s license and ability to lift 50 lb.
